Renewing Passports while overseas

[UPDATE Effective from Friday 10th of February 2023, the issuance of new passports for workers under the Recognised Seasonal Employer (RSE) scheme and Seasonal Workers Program (SWP) will be put on temporary halt until July 2023. RENEWAL of passports by RSE and SWP workers and other passport holders and applying for a new passport by other passport holders but not including RSE and SWP workers is open as usual.”

As of 01 Jan 2023 - ALL Ni-Vanuatu citizens require a valid and current Vanuatu Passport or Certificate of Identity to enter Vanuatu - no exceptions.

For workers overseas in Australia or New Zealand

1. Download and complete the Passport Application Form

2. Complete the form, making sure you:

  • TICK "NORMAL" PRIORITY (The Passport Office has put urgent passports on hold.  Speak to Dan if you need an urgent passport as you can get a Certificate of Entry)
  • Sign in the box at the top left and at the bottom right
Scan and Email your application form to us

3. Get your passport portrait photo taken from a place that does these, eg Australian Post, NZ Post Shop or most Pharmacies.  The photo must be ELECTRONIC and not a printed copy.  

Get the photographer to email this to us.

4. Get your birth certificate

  • If you have a copy with you, scan and send this to us.
  • If you dont have a copy with you, then you will need to get a family member to get one from Civil Status and then get that to our office in Vila.  Current cost is 500vt

5. Now get a member of the family to see us at the office AFTER you have done the above.  We will issue the person with an official agents letter requesting the passport.

6. We will print the copy of the application form and birth certificate if provided, and also the letter and a copy of their old passport.

The family member will then be responsible for

  • Going to Civil Status to get a birth certificate (if we dont receive one)
  • Going to Top Shots to pay and collect the passport photos
  • Going to the Immigration Department and pay the cashier
  • Waiting for the passport
  • Return the new passport to us for scanning and sending to the Employer.
At this stage, Seasonal Workers returning from Australia are able to travel with an electronic copy of their travel document (Passport or CI).  But Employers must check first with the Vanuatu Government and airlines whether this is acceptible or not.

[UPDATE:  Currently passports are not being issued by the Vanautu Government until further notice.  Workers on the PALM and RSE Schemes who require a passport must apply for a Certificate iof Identity.  Please read the Yellow sections for CI

For workers overseas in Australia or New Zealand

1. Download and complete the Passport Application Form

2. Complete the form, making sure you:

a. Choose the passport service required - Normal, Express or Urgent
b. Sign in the box at the top left and at the bottom right.

3. Get your passport portrait photo taken from a place that does these, eg Australian Post, NZ Post Shop or most Pharmacies.  The photo must be ELECTRONIC and not a printed copy.  

Get the photographer to email this to us.

4. Get your birth certificate

a. If you have a copy with you, get your employer to scan and send this to us.
b. If you dont have a copy with you, then you will need to get a family member to get one from Civil Status and then get that to our office in Vila

5. You or your employer will email the following to us

a. The expired/expiring passport copy
b. A copy of the birth certificate if you have this

6. Arrange payment for the passport.  This must be by Bank transfer or cash direct to our office in Port Vila.  We do not accept Western Union.  If your employer pays for you then they will arrange for deductions to cover the cost.

* AUD and NZD prices listed are indicative only and while we aim to absorb currency flucuations, we reserve the right to change the amounts above should the currency drastically change.
 

Fees include: Printing of photos at Top Shots, Passport renewal fee and international courier to an Australian or NZ Employers address and Administration costs.
^ CI fee does not include international courier.  The worker can travelk back with an electronic version.

Employers please note that we issue invoices if you are paying on their behalf, for proof of deduction purposes.
